Adding documents to the PIM (Deutchland)
This is a two step process, firstly you need to add a document into the PIM media library, and then you attach that document to a product
Adding document to the PIM Media Library
Log into the PIM.
1. Click on the Media icon from the left menu.
2. Click on the + icon to add a document
When the 'Upload document' appears click on the option to add files or drag a document to the window.
Click on the Start upload button to upload the document
A blue checkmark will appear on the top right of the download when it has successfully uploaded.
Close the window.
Next, use the media search at the bottom of the left column to locate the document you have just uploaded
When you have located the document, click on it and you will see all information relating to that document show in the bottom right panel of the PIM.
Click on the second tab over - General Information
Adding Document Data
Add the following data for each document
- Display Name - this is how the document will appear on the website
- Category 1: This field is for type of document that you are adding eg, Konformitatserklarung, Montageanweisung. Regardless of the language of the document add this category in German. For example, even if the document you are adding is an Installation Instruction manual in English, add Montageanweisung in Category 1. This is automatically translated to Installation Instructions on the website.
- Category 2: This field is for the files location so should be PDP. This allows the document to display on the product page.
- Category 3: This field is not required.
- Languages : Enter the appropriate download language; German, English etc. For multi-lingual documents separate each language with a comma. For example German, English, French.
- Check the Publication box
To note file categories are case sensitive. It's important to use a consistent naming convention across document categories.
Attaching document to product
Click on the Search icon in the left menu of PIM
Using the dropdown menu check you are in the correct PIM area - Articles GDD
Search for the product that you want to add the document to
Click on the Assets tab of the product you have chosen
Ensure you're adding the asset under the appropriate language. (For multi-lingual documents still only needs to be added here once)
Click on the + icon
Choose the type of document from the Type field eg Brochure
Click on the blue here link to open the media search window
Search for the document you just uploaded
Click on the document and attach to the product
For the example above, here is how it would then display in the Useful Downloads section of the German and English PDPs respectively:
To note, currently the display name only displays for the language the display name was added to. Multiple display names can not be added, so for multi-lingual files the file name will display for subsequent languages.
Locating an Existing Document in the Media Library
You may need to edit document data on a document that has already been assigned to a product. You can edit the data in the Media Library as normal per the steps in Add Document Data.
To locate an existing document in the media library you can do the following:
- Navigate to the product that the document is assigned to.
- Click on the Assets tab of the product you have chosen and click on the document you want to edit the data on.
- Click on the information icon, next to originalimage at the bottom of the Assets panel.
- Copy either the file name or the unique document identifier. You can use this to search for the document in the media library
Maintaining Document Data for Multiple Languages
For documents in a single language (English or German), the data should be added to that language in PIM. See image below.
For multi-lingual documents the recommended best practice is to maintain the data in one language. Subsequent languages are added in the language field as needed. Document data should not be maintained in multiple languages in PIM.
